Eldon Group is seeking a highly organized, detail-oriented, client-facing operations professional to become the first operational layer between leadership, clients, vendors, and ongoing work.


This is not a traditional virtual assistant role. This position combines:

Core Responsibilities

1. Email Management & Client Communication

Responsibilities include:

  • Monitoring and triaging inboxes

  • Categorizing incoming requests

  • Drafting and sending professional responses

  • Using ChatGPT responsibly as a drafting tool

  • Escalating unclear, sensitive, or high-risk issues

  • Maintaining communication clarity and professionalism

  • Logging requests into internal systems

  • Following up on pending items


This role must communicate calmly, professionally, and clearly at all times.


2. Phone & Outbound Coordination

Responsibilities include:

  • Answering incoming calls professionally

  • Making scheduled outbound calls

  • Confirming appointments, reservations, deliveries, or information

  • Following up with vendors or offices

  • Logging call notes and action items

  • Escalating issues when needed


Strong spoken English is required.


3. Document Management & Signature Coordination

Responsibilities include:

  • Organizing digital files and folders

  • Preparing and requesting signatures

  • Tracking pending documents

  • Ensuring completed documents are stored correctly

  • Following naming and documentation standards

  • Maintaining operational organization


Attention to detail is critical.


4. HIPAA & Sensitive Information Handling

Responsibilities include:

  • Following approved compliance workflows

  • Handling sensitive information carefully

  • Using approved tools only

  • Escalating uncertain compliance situations

  • Following security and confidentiality standards

5. Website & Deliverable Quality Control

Responsibilities include:

  • Reviewing websites for accuracy

  • Checking links, forms, and formatting

  • Identifying inconsistencies or errors

  • Performing QA before deliverables are finalized

  • Reviewing materials for brand consistency

  • Flagging issues proactively


The role helps ensure work remains accurate, consistent, and professional.


6. Proofreading & Quality Assurance

Responsibilities include:

  • Reviewing documents for grammar and spelling

  • Checking formatting and consistency

  • Catching incorrect names, dates, or details

  • Ensuring professional presentation quality

  • Supporting operational clarity across deliverables


7. Operational Tracking & Follow-Up

Responsibilities include:

  • Maintaining task trackers

  • Monitoring open requests

  • Following up on pending items

  • Preparing status summaries

  • Ensuring work does not get lost

  • Maintaining visibility across ongoing tasks
